BizRatings Zapier API Integration with MS Teams

Section 1: BizRatings Low Score Integration Instructions – Generating your API Credentials


The BizRatings Zapier integration for Microsoft Teams allows your organization to receive real‑time CSAT alerts directly in Teams for both 1‑click service ticket scores and full survey page submissions. Zaps are triggered based on two key criteria: first, the Low Score Threshold you’ve set in Notifications → Service Ticket Low Score Threshold, which determines the CSAT scores (≤ your threshold) that qualify for Zapier delivery; and second, whether the associated service ticket was updated within the past 120 days. Together, these rules ensure that your Teams channel receives timely, relevant CSAT insights that align with your organization’s feedback‑monitoring standards.

Before setting up integration, please take time to become familiarized with Zapier’s Pricing and Plans, the number of users, volume/steps of tasks, update/refresh data intervals and “zaps” dictates the plan you will need. Each notification you send through API will be considered a single step Zap and MS Teams is covered by the free account, howver the number of tasks is limited with free plans.

1. Navigate to BizRatings.com, select Login, and sign in using your BizRatings login credentials.






2. From the navigational menu on the left side of the screen  Connected Apps select your company Settings navigate to the Zapier Integrations page.

This is where you will be able to generate and find the API KEY and Organization ID required to set up the Zap. You will need this API information to create your Zap in in the next steps.





Section 2. Integrating and Connecting Microsoft Teams to BizRatings Through Zapier


1. Navigate to https://zapier.com/apps/bizratings/integrations. Within the “Search for pairing apps” bar, search Microsoft Teams to send your BizRatings Score Alert notifications to.



2. You will be prompted to pre-select the Trigger and Action for the apps. Select BizRatings Survey Response Alert for the trigger and Send Channel Message for the action. Click Connect My Apps.



3. If you are new to Zapier, you will be prompted to create a free Zapier account. Click “Get Started FREE” to Create a FREE Zapier account. This is required and will allow you to create your Zap using our BizRatings app. If you or your organization already have Zapier accounts, you may also access the BizRatings app using your usual Zapier login. Note: Please take time to become familiarized with Zapier’s Pricing and Plans, the number of users, volume/steps of tasks, update/refresh data intervals and “zaps” dictates the plan you will need. Each notification you send through API will be considered a single step Zap and MS Teams is covered by the free account.
 


4. Once your account has been created and you are signed in, you will be redirected to the Zap creation page. From here, you will see that the initial Trigger and Action portions of the Zap have been created for you.




5. Setting up the Zap will require connecting your BizRatings account using the API credentials generated using the initial steps of this guide. Select Choose Account and select Connect New Account



6. In resulting “Allow Zapier to access your BizRatings Account?” shown below, please provide your API Key and Organization ID where indicated. As a reminder, these can be generated and found on the Zapier Integration page within your BizRatings account (see Section 1, Step 2 of Instructions). Once API Key and Organization ID have been entered, click “Yes, continue” button.

 


7. After continuing, your linked account will be selected. From the Trigger section > set the score and comment criteria for receiving Score Alerts to Teams. If you only wish to receive Channel Messages for when low scores are received, we recommend selecting scores at and below the Low Score Alert threshold you have set in BizRatings (in most cases, this is scores 7 and below). If you wish to receive notifications for all reviews received, we recommend selecting all scores (1 through 10). You may also select whether you only want to receive Score Alerts for review given with comments or if you would prefer to be notified for all scores received.





8. Once these criteria have been set, you may test the trigger from the Test tab within the Trigger window. This process will find a review within your BizRatings account that matches the settings you selected. The Test tab will update to show the available fields that can ultimately be shown in your Teams Channel message. Click Continue once you are satisfied with the trigger test.
 




9. In the resulting Action window, you will automatically be directed to the App & event tab where you can customize the Action phase of the Zap. This will determine the data that will be shared within the Teams Channel Message. The first step will be to choose the Teams account, sign into that account, and select the channel where the Score Alerts will be displayed (test account shown here). Click Continue.




10. In the resulting Action tab, you will be directed to select the team, channel, message text format. PLEASE NOTE: It is required that the team selected has the Zapier App installed. This can be done within the Apps section of Teams. Within this same section > map how the fields from BizRatings will be sent to Microsoft Teams. Note the syntax and format in the “Message Text” field below, this is suggested markdown format, that will generate a clear message into the Teams channel you select. You are free, however, to edit the markdown format and fields included as you see fit. Click Continue.




11. In the resulting Test tab, you will test the action. By choosing Test Action, a sample message using the previously generated review date will be sent to the channel you selected.





12. Here is a sample Channel Message based on the format we used above, shown in the channel we selected.




13. If the format is satisfactory, click Publish at the bottom of the Test tab to publish and activate your Zap, and scores received by your team going forward will start to display both within BizRatings as they always have and within the Microsoft Teams channel you selected! You can manage your new Zap from within your Zapier login by navigating to the Zaps page.
